6. Secret Space Venue: Hire Code of Conduct & Safety Protocols
Ref: Heating & Ventilation
- Door Sensor Lockout: External doors and fire exits must remain closed for the heating to be switched on and to function correctly.
- No DIY Operation: Do not unplug or tamper with the heaters. These are Three Phase powered and specialized. Any unauthorized handling will blow the fuse and incur a repair fee.
- Air Circulation: Do not seal or cover the large Industrial Extractor fan. It is a safety requirement for air circulation and must remain unobstructed.
Ref: Security & SIA
- iPad Sign-In: All security staff and SIA must sign in using the iPad located in the small bar. It is pre-set to the sign-in homepage.
- Identity: Full names (first and last) are required for all staff sign-ins.
- Search Policy: Your security must follow our house Search Policy and use clickers for accurate capacity management.
Ref: Shutters & Access
- Shutter Integrity: Venue shutters are a high-risk item and have been damaged previously. Do not attempt to adjust or raise shutters for entrance.
- Fines: Any unauthorized movement of shutters will result in an immediate fine and deduction from the deposit.
- Vehicle Access: Vehicle access to the site must be pre-agreed in writing. A specific vehicle security deposit is required for all authorized vehicles.
Ref: Storage & Disposal
- Unagreed Storage: All equipment, décor, and personal items must be removed by the agreed load-out time. We do not provide storage.
- Abandoned Items: Any items left on-site without prior written agreement will be considered abandoned and immediately disposed of.
- Disposal Fees: The cost of waste removal for abandoned items (including skip hire or man-and-van fees) will be deducted from your security deposit.
Ref: Specialized Equipment & Stage
- Stage Height & Tools: Any change to the stage height must be agreed upon in writing. It must be returned to its original 1m height (or lowest setting if agreed) using the correct Hi-Torq Deep Offset Metric Ring Spanner (M8).
- Fire Exit Clearance: All designated fire exit routes must maintain a minimum of 2m clear width at all times.
- Staff Zones: Strictly no access behind the bar or into designated staff-only areas.
- Sound Limits: Standard limit is 100dB. Leeway is at the discretion of the house tech based on density and sound checks.
Ref: Walls & Furniture
- Fasteners: No screws or drilling into brickwork, steel RSJs, or venue furniture. No duct tape. Use only Blue Tack or pins on designated surfaces.
- Furniture Reset: All 100+ tables and benches must be returned to the original floor plan and stacked on pallets exactly as per the reference photo provided.
- No Standing: Absolutely no standing on tables or benches. No heavy items to be placed on seating.
Ref: F&B and Sponsors
- Alcohol Licensing: Our license strictly prohibits the sale of any alcohol items by external hirers. No sales are permitted under any circumstances.
- Beverage Policy: No drinks (soft or alcoholic) allowed unless agreed. No giving away of drinks on-site. All event sponsors must be vetted and agreed upon in advance.
- Catering Restrictions: Warming food only. No open flames, no gas, and no deep frying. PLI and catering fees must be settled before load-in.
- Confetti & Effects: Zero-confetti policy. Cold sparks only; no flames.
- Haze Usage: If haze is required for your event, a mandatory £50 charge applies. This fee covers the annual cleaning of the ceiling and fixtures necessitated by haze residue.
- Waste Management: Hirers are expected to take all excess rubbish with them. Any waste left behind beyond a reasonable agreed-upon amount will be charged for and deducted from the security deposit.
Mandatory Security Deposit
Notice: A deposit is required for equipment use, vehicle access, and storage. Any breach of the above rules—including shutter tampering, blown fuses, damage to walls, unauthorized alcohol sales, or unreturned furniture—will result in immediate deductions from this deposit.
SIA must be badged and signed in, hi viz jackets, strict venue search policy to be followed, smoking area to be setup, Entrance Door must always be manned, 2+ guards patrolling, covering the stage, Fire exit must always be manned, Evac Meeting point is the car park just opposite on the corner of river st.
MMA Events

1. Medical & Safety
- Paramedic/Ambulance: Please confirm your booked medical team. We require copies of their Public Liability (PL) insurance and a comprehensive Risk Assessment (RA) before the event.
2. Catering & Food Hygiene
- Documentation: All catering vendors must submit their Food Hygiene certification and PL/RA documents.
- Venue Restrictions: Please remind your caterers that we operate under a strict No Smoking / No Frying / No Gas policy inside the venue premises.
3. Security & Stewarding
- Security Team: Please provide the exact quantity of SIA-licensed security personnel you are deploying, along with their PL/RA documentation.
- Extra Stewards: Let us know if you will be utilizing any additional event stewards, and confirm their numbers.
4. AV Suppliers & New Security Deposit Policy
Due to recent incidents involving cut wires and non-compliance with venue policies, we have implemented a strict new policy for all AV suppliers:
- Cash Deposit: The AV supplier must provide a refundable cash deposit of £350 to be held in our bank account before any setup can begin.
- Release: This deposit will be fully released within one week after the event, provided all venue policies are followed and no damage occurs.
- Compliance: Please ensure your AV team is fully briefed on respecting the venue's physical infrastructure.
5. Ring Provider & Timings
- Provider Info: Please confirm who your designated ring provider is.
- Access & Event Times: * Prep Day Access Time: TBA (We will update you as soon as this is locked in).
- Event Day Door Opening: TBC with the client
- Event Day Closing: TBC with the client
Please reply with the requested PL/RA documents and confirm that your AV and catering teams have been briefed on these policies.Also your own updated PL as the event organiser.
